What changes the plan
Name the property and the correct vehicle entrance. Large hotels can have a separate residence tower, service driveway or valet queue. Ask the property where a rental handover is permitted and share that answer with the operator. Do not assume a lobby address identifies a legal place to stop.
Give a realistic ready-to-meet window rather than just a flight arrival time. Passport checks, bags and hotel check-in can change the plan. Choose one person to provide updates so the rental team does not receive conflicting messages from several guests. Send personal documents only through the operator’s designated secure process.
Keep the delivery fee, included waiting time and late-change procedure in the written offer. The request is not a confirmed booking until the operator accepts the exact car and timing. Save the pickup instructions for the return at the same time; return logistics should not become a last-minute surprise.
